    This Friday the 13th we thought it might be a time good to remind you all of workplace safety and how to report accidents if they happen. Despite all measures taken, accidents unfortunately happen. According to the HSE there were 135 fatal workplace accidents in the UK during 2023, with over 651,000 more injuries. So, it’s the employer’s job to ensure that the employees are safe, informed and trained on how to stay safe and how to avoid situations that can be prevented.

    Workplace Safety.
    A safe workplace is a happy workplace, and it can create a more comfortable environment for employees to do their jobs. There are a few things that can be incorporated into the daily routine:
    1. Tools, equipment and machinery should be used correctly. Only people that are trained or certified should use them.
    2. Report any unsafe conditions. Tools etc should be checked regularly and fixed when needed.
    3. Wear the correct PPE for the job. Check it regularly and keep it clean.
    4. Maintain good housekeeping in the workplace. Make sure stairs, walkways etc are clear, desks are tidy and no trip hazards.
    5. Stay hydrated and take breaks. Make sure to drink water throughout the day and to take breaks when you can.
    6. Practice good posture. Sit up straight, use ergonomic desks if available and make sure the chair is set up to suit.
    7. Be aware of your surroundings. Be aware of things around you, potential hazards, spills, emergency exits etc.
    8. Keep up to date with company safety policies. Policies are there to keep people safe and employees should be kept up to date on them regularly and trained.

    What should be reported under RIDDOR.

    All accidents in the workplace must be reported and entered into the workplace accident book as is required under The Health and Safety at Work Act 1974. The below categories are legally required to be reported to the HSE under RIDDOR.

    • Accidents causing the death of any person.
    • Accidents causing specified injuries to workers.
    • Over-seven-day incapacitation of a worker.
    • Non-fatal accidents that require hospital treatment to non-workers.
    • Occupational diseases.
    • Dangerous occurrences.
    • Gas incidents.

    The Process.

    1. Identify Reportable Incident: This step is preventative as you need to make sure you are familiar with anything that might fall under RIDDOR if an accident should occur. If you are an employer, it is good to offer training for your staff, so they are familiar also.
    2. Collect information: Collect everything you can related to the incident, the date, time, place, who, where, what and exact descriptions from all involved.
    3. Determine Responsibility: Find out who is responsible for reporting the incident, its likely to be the employer.
    4. Use the HSE online reporting system-linked
    5. Retain Record’s: When you submit your report remember to keep a copy and maintain your records.
    6. Assess your procedures: Once you have gone through the process with the incident, reported it, dealt with the aftereffects, it is a good idea to reflect and see what you could improve on if an accident occurs again.
